We are seeking a driven and dependable Outpatient Scheduling Facilitator to support our scheduling operations and help ensure patients receive timely access to outpatient procedures and services.

This role is ideal for someone who enjoys working with healthcare systems, managing high volumes of information, and collaborating with a team to support an efficient patient scheduling process.

Position Overview

The Outpatient Scheduling Facilitator plays an essential role in preparing physician orders for scheduling. This position reviews and processes outpatient orders, enters non-Epic orders into the Epic Cadence scheduling system, and ensures orders are accurate and routed to the appropriate scheduling work queues so that scheduling specialists can quickly assist patients.

Key Responsibilities

  • Review and process a high volume of physician orders daily for outpatient procedures and services

  • Enter and import non-Epic physician orders into the Epic Cadence scheduling system

  • Ensure orders are complete, accurate, and properly routed for scheduling

  • Coordinate orders across multiple ancillary departments and service lines

  • Communicate with physician offices regarding referrals, order requirements, and missing information

  • Support scheduling teams by ensuring orders are ready for efficient patient scheduling

  • Maintain strong quality standards and accuracy in a fast-paced environment

  • Collaborate closely with Outpatient Scheduling Specialists to support team workflow

What Were Looking For

  • Prior medical office, scheduling, patient access, or referral coordination experience strongly preferred

  • Experience with Epic Cadence or Epic scheduling systems highly preferred

  • Strong attention to detail and ability to manage high-volume workloads

  • Excellent organizational and multitasking skills

  • Strong communication and teamwork abilities

  • Ability to adapt quickly in a fast-changing environment

  • Comfortable working in a collaborative office setting

Medical terminology knowledge desired. Knowledge and understanding of telephone etiquette including strong listening skills are essential. Bilingual is preferred.
