Job Description Summary

Become part of a winning team at our UK Centre of Excellence and a Government strategic facility.

As the at our Marine Power Test Facility you will play a key role in managing and maintaining all engineering and project documents for complex, multi-disciplinary projects.

Ensuring compliance with both internal quality standards and external customer requirements, this position is integral to our project team.

Working closely with design engineers ,project management and facilities team you will become a crucial interface with external customers for key projects control and support the overall facility procedures documentation control.

You will ensure the application of a robust configuration control process and efficiently manage the receipt, submission and approval of documentation by our customers .

You control the information and documentation movement within the security procedures defined for the project.

This role involves work for customers who manage critical infrastructure; based on customer requirements it will be necessary to carry out background checks and suitability assessments (UK BPSS clearance OR UK SC clearance) as part of the hiring process.

Job Description

Roles and Responsibilities:

Document Compliance and Management:

  • Ensure all documents fully comply with contract requirements, including document templates, formats, and document/file numbering.
  • Organize, control, and distribute engineering documents, including drawings, specifications, and technical manuals.
  • Receive , record , organise and distribute information from the customer.
  • Ensure all documents are properly versioned, stored, and archived according to company standards.
  • Implement and maintain a document management system (DMS) to facilitate efficient document retrieval and storage.

Workflow Coordination:

  • Work closely with engineering teams to expedite the timely release of documents.
  • Manage the document review and approval process, ensuring timely completion and adherence to established procedures.
  • Coordinate with engineers, designers, project managers and other stakeholders to ensure documents are reviewed and approved in a timely manner.
  • Track document status and follow up on pending reviews or approvals.

Internal Review and Configuration Control:

  • Ensure that the internal review process and configuration control are correctly completed prior to the release of documents.
  • Conduct regular audits of document repositories to ensure accuracy and completeness.

Document Submission and Issue:

  • Submit documents to the customer for their review.
  • Manage the controlled issue of documents internally and to suppliers.

Customer Feedback Management:

  • Receive document comments back from the customer, log them, and distribute them to engineers for response/document revision as needed.
  • Ensure all revisions are properly documented and re-submitted to the customer in a timely manner.

Training and Support:

  • Provide training and support to engineering staff on document management practices and procedures.
  • Create and maintain documentation related to document control processes and procedures.
  • Assist in the development and implementation of improvements to document management systems and processes.

Record Keeping:

  • Maintain accurate records of document revisions, approvals, and distributions.
  • Prepare reports on project documentation status as required.

Essential qualifications:

  • Substantive experience in document control or a related role within an engineering environment.
  • Professional experience with document management systems.
  • Strong organizational and time-management skills.
  • Excellent attention to detail and accuracy.
  • Strong communication and interpersonal skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).

Desirable Experience

  • Bachelor’s degree in engineering, Business Administration, or a related field preferred, or equivalent training and experience
  • Knowledge of engineering principles and practices.
