Principal Accountabilities
Sales Order Processing (The following to be carried out on a timely basis):

  • Receive and enter orders into the system, acknowledge customers’ P.O.s on time
  • For new customers, arrange with customer to complete credit application form, establish custom exemption status and freight arrangements where applicable.
  • Update weekly delivery schedule & update open order items that already shipped.
  • Update order quantities on MS/MRP.
  • Liaise with customers on current and forecast orders, monitor status of ordering, inventory and outstanding accounts.
  • Prepare shipping documentation, invoices, etc. for goods dispatch/delivery amendment and cancellation.
  • Liaise with Production, Planning, Purchasing and Warehouse to ensure order fulfilled as per requirements e.g. timely delivery.
  • Perform the above for sample requests where applicable.
  • Any other tasks related to order fulfillment (including unique requests).

Customer Service:

  • Handle customer enquiries and maintain good customer relations.
  • Respond to customer complaints and forward to QA for investigation.
  • To follow with QA to close complaints.
  • Other related customer service work.

Administrative and others:

  • Create and maintain Bill of Material.
  • Provide administrative support to Sales.
  • Follow up payment from customer ensure AR record current.
  • Prepare Monthly reports.
  • Perform periodic stock count and reconciliations.
  • Coordinate freight management within scope of responsibility and monitor freight costs as well as services provided by the agent.
  • Ability to maintain and monitor internal controls and flow of documents; and ensure that documents are filed in an orderly manner.
  • Prepare pre custom clearance and liaise with custom officer if any issue arise.
  • Month end billing for consignment stock.
  • To update the documents and file on timely manner
  • Other related administrative work.
