Position Summary

The Administrative Assistant Summer Student provides general administrative and clerical support to the organization contributing to efficient day-to-day operations while gaining practical workplace experience. Under supervision the student will assist with office administration communications client engagement and quality improvement initiatives in a supportive learning environment.

Key Responsibilities
  • Assist with general office duties including filing photocopying scanning and data entry
  • Answer and direct phone calls and email inquiries in a professional manner
  • Prepare format and proofread documents correspondence and reports
  • Maintain electronic and paper filing systems
  • Schedule meetings and assist with meeting preparation including agendas and minutes
  • Support staff with day-to-day administrative tasks and special projects
  • Assist with organizing records databases and contact lists
  • Conduct outbound calls to clients to support client satisfaction surveys and quality improvement initiatives
  • Accurately record and enter client feedback while maintaining confidentiality and professionalism
  • Summarize feedback and identify recurring themes or issues for staff review
  • Assist with basic communications such as emails notices newsletters or internal memos
  • Support basic website or social media updates where applicable
  • Participate in training and mentoring activities provided by the organization
  • Follow organizational policies health and safety procedures and confidentiality requirements
  • Perform other related duties as assigned
Required Qualifications (Canada Summer Jobs Eligibility)
  • Between 15 and 30 years of age at the start of employment
  • Canadian citizen permanent resident or person with refugee protection status
  • Valid Social Insurance Number (SIN) and legally entitled to work in Canada
Skills & Competencies
  • Strong verbal and written communication skills
  • Good organizational skills and attention to detail
  • Ability to manage multiple tasks and meet deadlines
  • Basic proficiency with Microsoft Office (Word Excel Outlook) or willingness to learn
  • Ability to work independently and as part of a team
  • Professional courteous and reliable work ethic
Education & Experience

Currently enrolled in or recently graduated from secondary or post-secondary education. Previous administrative or office experience is an asset but not required. Training will be provided.

Working Conditions

Primarily office-based during standard business hours. Some repetitive administrative tasks such as computer work and filing.
