Provide administrative support to the Specialty Care and Oncology team, including handling phone calls, scheduling meetings, and coordinating travel arrangements. Maintain and organize departmental files, records, and documents, ensuring they are up-to-date and easily accessible. Prepare and distribute correspondence, memos, reports, and presentations for the team. Assist with the preparation of budgets, expense reports, and other financial documents. Coordinate and track departmental projects, ensuring deadlines are met and progress is communicated to key stakeholders. Collaborate with other administrative assistants and team members to ensure seamless communication and coordination within the department. Act as a point of contact for external partners and stakeholders, responding to inquiries and providing necessary information. Use various software and tools to create and maintain databases, spreadsheets, and other documents as needed. Participate in departmental meetings and take minutes as necessary. Continuously identify and implement process improvements to increase efficiency and effectiveness within the department. Maintain confidentiality of sensitive information and handle it with discretion. Keep up-to-date with industry trends and developments, and assist in the organization of relevant conferences and events. Adhere to company policies and procedures, and ensure compliance with all legal and regulatory requirements. Uphold a professional and positive attitude while representing the company to internal and external stakeholders.
